Why Manage Policies in Scytale
While policies can be stored in many tools, Scytale is purpose-built for the full compliance lifecycle - giving you structure, traceability, and audit-readiness in one place.
Automatic evidence sync - Policies are automatically synced to relevant Monitorings as evidence.
Version control - Every change is tracked, including who made it, when, and what was updated.
Review and approval - Policies can be formally reviewed and signed, so you always know which version is approved.
Employee acknowledgment - Policies can be assigned to employees for acknowledgment, with completion and signature tracking.
By managing policies in Scytale, you eliminate manual work, reduce risk, and ensure your policies are always up to date, properly tracked, and ready for audits.
Getting Started
There are two ways to add policies:
Use Scytale Templates
Start with ready-made templates aligned with common compliance frameworks.
These templates include predefined structure and placeholders to help you get started quickly.
Add Your Own Policies
If you already have existing policies, you can choose how to add them to Scytale:
Sync Policies From External Tool
Sync policies from Google Drive, Confluence, or SharePoint and choose how versions and approvals are managed:

Create Policies From Scratch
Create a new policy directly in Scytale by assigning a name, selecting an owner, and linking it to the relevant monitoring to populate evidence.
Scytale Policies Wizard
The Policy Wizard helps you define key company details - such as your company name, roles, and responsibilities - that are reused across policies. These values are inserted as placeholders and automatically populated throughout your documents, helping you:
Maintain consistency across all policies
Reduce repetitive manual edits
Save time when managing multiple documents
Placeholders For Easy Editing
Easily customize placeholders to reflect your company's specific processes. Some placeholders appear across multiple policies, so you only need to define them once - they'll automatically populate wherever they're used.
You can choose to update a placeholder across all policies or within a specific policy only.
Control Visibility
Understanding which controls are linked to each policy is essential for compliance. You can view these associations directly from the policy screen.
Confidentiality
Define the confidentiality level for each policy. The selected level is displayed in the top-right corner of the policy when downloaded. By default all policies will be set to 'Confidential'.
Version History
View a complete version history for each policy, including all edits and signatures. Each version shows the contributor's name, date and time, and version number.
Comments
Use the comments section to collaborate and communicate with stakeholders and colleagues directly within the policy.
Assigning Policies to Employees
Once a policy has been signed off, you can assign it to employees for acknowledgment directly from the People page.
Assignments are managed in the Groups tab. As soon as a policy is assigned, employees receive an email notification prompting them to review and sign it.
The email takes them to a dedicated webpage where they can read the full policy and submit their signature.
If an employee hasn't completed their review, you can send them a reminder at any time. You can send reminders to groups or to individuals.
To send a group reminder go to People -> 3 dot menu -> and click 'Send Group Reminders'
To send an indiviudal reminder go to People -> find the employee you want to remind -> and click 'Send Reminder'
Each employee's acknowledgment status is reflected in the People page, showing as either Required, Completed or Unassigned - giving you full visibility into who has signed off and who still needs to act.
